Job Description
We’re looking for a very organized, detail oriented, flexible and driven assistant, to help our fund managers to organize their agendas and documents. You will work directly with C-level executives while managing business-related tasks for the team. You will work with the Dutch, Danish and the Colombian team organizing important documents, emails and calls.


Some responsibilities:

  • Provide general administrative and day-to-day calendar optimisation support;

  • Prepare agendas, updates, and memos for the executive team and the general company;

  • Ensure preparation of meetings (Executive Team meeting plus the meeting where requested), take minutes, and follow-up on next actions using the appropriate tools and frameworks within Rockstart;

  • Arrange and coordinate traveling activities, hotels and bookings for the Executive Team members; ;

  • Working closely together with the CEO and the fund managers;

  • Monitor and support on optimisation of the executive team agendas;

  • Support executive team members on quarterly and annual team reviews;

  • Support with English <> Spanish documents translation;

  • Working together with the HR & Ops people on company-wide activities and operations.


What makes you the perfect candidate?

You are a master of organizing, from file folders to shared online drives.To keep an office or a company running smoothly, the best executive assistant has efficient filing systems and uses task management tools. You keep schedules and budgets and manage a large amount of information, phone messages, emails or files.

You enjoy being responsible for many tasks, and do not have any trouble with schedules that may change if the executive or administrator you support has urgent needs to address. You feel comfortable multitasking and switching tasks, and taking on new responsibilities as they arise.


Next to this we require:

  • Comfortable with the full Microsoft Office suite and Google Workspace.

  • Previous experience managing any CRM and data bases.

  • Strong communicator and strong skills for managing professional relationships.

  • At least 2 years of administrative support experience.

  • You have a proactive, results-oriented attitude with an ability to work effectively in a fast-paced organization.

  • You are fluent in English and Spanish.


Start: 15th August 2022

Availability: full-time.

Remuneration: Based on experience.

Location: Bogota, Colombia remote on Colombian contract.
